We will usually generate your monthly invoice on the 1’st or 2’nd day of every month.
Billed amounts should be paid within 7 days of the invoice date
Our billing cycle is monthly, and charges are calculated based on the number of active employees and users during that billing month.
All users/administrators/office users are considered users and will be counted in your total number of users
- An active employee is defined as someone currently employed by your business and has an active record in your system. Additionally, an employee who was deactivated during the billing month is also considered active for that specific billing period, as they were active during that time.
If an employee leaves, you can deactivate them without losing their profile and reactivate them if or when they come back.
This means your monthly charge can often change from month to month
For each monthly billing cycle, the system evaluates employee activity as follows:
- Active During the Month: If an employee is marked as active at any point during the month—even if later set to inactive (e.g., on the 5th or 10th)—they will be included in that month’s invoice. This ensures coverage for any period of access or usage within the billing cycle.
- Inactive in the Following Month: If the same employee remains inactive when the next billing cycle begins, they will not be included in the subsequent invoice. The system automatically excludes employees with no recorded activity for the entire new month.
All active users , administrators & supervisors that are registered into the system are considered users and will be counted in your total users number.
- New or Re-activated Users: Any employee or user added or re-activated during the month will be considered active and billed for that month.
- Monthly Invoicing: Invoices are typically sent during the first week of each month.
- Adjustments for Additional Users:
- If the number of active users exceeds the originally billed amount, the difference will be reflected in the next invoice.
- We generally waive charges for small increases (fewer than 2 users).
- For larger additions, we may either send a separate invoice or include the adjustment in the next billing cycle.
If your workforce fluctuates significantly during the month, we can switch your billing cycle to be processed at the end of each month instead.
You may delete or make any user as inactive to avoid their next monthly charge. You can choose to activate their profile again with 1 mouse click at anytime
